How to run and leverage the Elevenvms Client Data Export (beta)
Generate a single multi-tab Excel file that contains every sourcing record, purchase order, and validated activity so you can build procurement dashboards, reconcile invoices, and track supplier performance without ever copying rows by hand again.
Who can export data
• Company Administrator – sees every line across every entity
• Entity Administrator – only the entity she is attached to plus any child entities
• Buyer – only the entities linked to the expense lines where she (or her substitute) is registered
Steps
1. Sign in and open your account.
2. In the main menu click Reporting → Data Export (beta)
3. Pick your date range. The platform will automatically interpret it:
– RFP records are filtered by their publication date.
– Projects & Custom Fields keeps only active projects.
– Activity reports filter on the month when the work was actually performed.
4. Press Export. A banner appears: “An export is in progress…”.
5. Check your e-mail. You will receive a mail entitled Your LittleBig Connection data export is ready. Click the download link.
6. Save the file and extract it.
Data is refreshed four times daily (02:30, 08:30, 11:30, 15:30) so every download is never more than a few hours behind live activity.
Tab-by-tab guide
1. Requests for Proposals
Every row is one proposal received, regardless of outcome. Columns you will use the most:
- RFP ID – unique request; link it to everything else.
- AI score – a 0-100 rating from the platform showing how well the candidate matches your requirement.
- Proposal price – supplier’s first price per unit.
- Median proposed price – median bid for this RFP. Spot outliers instantly.
- Price negotiation – how much you shaved off (or added back) between first and final offer.
- Detailed status – not just won / lost, but “Short-listed”, “Withdrawn”, “Rejected-Price”, etc.
- Publication date – when you first opened the request to suppliers. Use it to measure sourcing cycle time.
2. Projects (aka Purchase Order extract)
Data only appears once a PO is legally signed. Key columns:
- PO ID – the live contract number that appears on your invoice.
- Project index – 1 = the original order, 2+ for renewals; track rate inflation over time.
- PO status – “In progress”, “Completed”, or “Pending renewal”.
- Portage contract by LittleBig – YES if the French portage model applies. This affects contribution rates.
- Price – final rate per work unit.
- Price previous PO – what you paid last time for the same role; perfect for quick renewal negotiations.
3. Activity Report
Each line is the validated time & expenses that you have to pay. Columns every finance team loves:
- Service month – formatted YYYY-MM. Roll it up to your monthly P&L.
- Worked unit – real hours/days delivered.
- Price – client-side rate used to bill downstream.
- Total price excl. tax – Worked_unit × price + any Extra-time amount.
- Expense amount – billable expenses the consultant uploaded (meals, parking, etc.).
- Date of validation by the client – once this date is entered, the line is already billable to your customer.
4. Custom Fields
Your custom fields live here, grouped by calendar year. Every column carries:
- Custom_Field – exactly the label you configured (e.g., “Internal code”, “Risk level”, “Approver”).
- Value – whatever was entered (text, date, number, Yes/No).
- Business ID – links back to the corresponding PO so you can merge extra data into dashboards.
Useful tips
• Filter the RFP tab by server cluster “AI score ≥ 85 and Median price ≥ Proposal price x 110 %” – fast high-value opportunities.
• Pivot the Projects tab: rows = supplier name, columns = project index, values = price – instant supplier inflation heat-map.
