Stages to extend an existing project (Purchase Order)

How to request the extension of an ongoing project
It may happen that you wish to extend the duration of a project, in that instance, you can do that via the platform by following the steps below:
Go to the tab “My projects”
1. You will be redirected to a page where you will find the full list of projects within the account, click on the three-line menu under the column “Options”
a) Click on the sub-menu option titled "Request extension"
2. A new pop-up will be displayed
a) If all information has been completed, your proposal will be shown

- Please make sure to add the new date of the Purchase Order (PO) and the work unit, then click on “Edit the project”
- Correct any and all information required in order to proceed to publishing your Request for Proposals

The Purchase Order (PO) will be updated with a new status, « Ongoing Renewal »

- You will be able to verify this information from the tab « my projects » and then confirming the details within the column “Request”

b) If there is information missing, the proposal will be displayed, the renewal date will be the day after the original day shown in the Purchase Order (PO), take into account that the rate will not change.

- Add the new end date and work unit of the Purchase Order
- Click on « Extend the PO »

Note that the Buyer and Operational or Manager responsible for the project will be notified by email | |
The Business manager of the project will be notified by email and via a platform notification |
3. The Business manager may at this time either accept or refuse your request to extend the Purchase Order.
a) If the Business Manager accepts the extension, you will be notified via a platform notification

- Access the tab « My requests for Proposals » to select and validate the proposal
- The new Purchase order will be created
- Access the Tab for Projects and check the details
The business manager will be notified of this validation by email and via a platform notification
b) If the Business manager rejects the extension of the PO, the Request for Proposals will be updated with the status of “Extension rejected by the supplier”
