Update Note - May 2025
We have deployed many new features to improve your experience, streamline communication between clients and providers, strengthen compliance, and offer even more control and transparency at every stage of the process. Here's a summary of the updates by topic:
Provider Experience
- Providers now receive an email notification as soon as the invoicing process is initiated. This allows them to immediately know their payment terms and better anticipate their cash flow.
- When a proposal is successfully submitted, a confirmation email is automatically sent to provide peace of mind and serve as clear proof of submission.
- The RFP response process has been redesigned: a review step now allows providers to verify all elements before submission, reducing the risk of errors. A structured input step has also been added to guide the provider through entering the total amount, attachments, and introduction text. Finally, the interface has been modernized to provide better visibility into the steps to follow and the completion status.
- To promote compliance with pricing grids, alerts are now displayed when proposed amounts exceed set limits. An explicit validation is required from the provider, ensuring greater transparency and traceability of discrepancies.
Fixed-Price RFP Management
- The fixed-price module has been enhanced. It now includes a mandatory budget field from the RFP creation step, ensuring better financial planning. Accepted file formats have been expanded (PDF, Word, Excel), offering more flexibility.
- Proposal entry now uses a new cost breakdown table. This allows providers to detail activities, worked days, daily rates, and total cost, with dynamic calculations ensuring data consistency. Proposals can include up to 10 milestones, each with its own objectives, deliverables, and costs.
- For clients, this structure improves the readability of proposals and simplifies evaluation. The total amount is now automatically calculated from milestones, removing redundant fields and reducing errors.
- Only complete and consistent data can be submitted, with contextual error messages to quickly correct incomplete entries.
Governance & Compliance
- Buyers can now prevent providers from proposing prices above those defined in the pricing grid, with configuration available per entity.
- A new feature allows systematic publishing to entire provider lists, while preventing the selection of individual providers within those lists.
- Administrators can enable or disable fixed-price RFPs at the legal entity level.
Interface Improvements
The supplier proposal tracking page "My Proposals" has been completely redesigned. :
- The interface is clearer, faster, and more modern, with advanced filters (statuses, experts, dates) and grouping by RFP. It also supports privacy rules to hide sensitive data.
- A new table view of the purchase order (PO) list enables quick searching via a multi-column search bar and column filters for greater usability.
- It is now possible to enter client contact information in the PO (first name, last name, email, phone) to facilitate tracking, follow-ups, and renewals.
Simplified Onboarding for Providers
- The provider registration experience has been simplified to accelerate onboarding. For IT companies, the framework agreement can now be signed directly by a designated legal representative. For freelancers, the interface has been optimized for greater clarity.
Skill Management
The skill database has been completely restructured:
- For administrators, the skill tree is now accessible from the admin page, with smoother navigation through the skill hierarchy.
-
For clients, profile searches during RFP creation are more accurate and aligned with the required expertise.
-
For freelancers, skill suggestions are more consistent with their profile, making it easier to showcase themselves on the platform.
Privacy for Referenced Providers
- As part of confidential RFPs, selected preferred providers now access key client information (name, logo, RFP owner, project location). This targeted visibility avoids friction while maintaining a high level of confidentiality for other market players.
Integration and e-Procurement
- Clients can now add a custom identifier when creating a purchase request to better recognize a provider in their e-procurement tool (e.g., Coupa). This ensures better process integration between the platform and clients’ internal tools.
Support
- Users can now create support tickets directly from the web widget or the main menu. A simplified entry point for faster, more intuitive support contact when assistance is needed.
