Introduction to the new Fixed Price module
The management of fixed-price purchases is often perceived as complex:
- In the preparation of a call for tenders (Request for proposals - RFP) file
- In sending and following up on communication
- Often managed in a disconnected manner, with multiple manual processes
With this new module, we are simplifying these processes and providing a 360 perspective to buyers, operational staff and suppliers within a single interface.

Functioning of the Fixed Price module

The new Fixed price RFP creation module follows the structure of the Capped Time & Materials module. It has been designed to structure and formalize a project from its launch. With a set of defined stages, the form guides you through a fluid process, to guarantee a clear definition of deliverables milestones and other contractual requirements.
This feature must be activated within your account by your dedicated Customer Success Management, alternatively, you may reach out Enzo Durrey to have more information.
Changes to the process to create an RFP:
- Access the menu RFP then select Create an RFP from the dropdown
- In the RFP selection page, click on the option Create a Fixed Price RFP and validate
- this will redirect you to the Fixed Price creation form.
- Indicate the information of the Step Client, to set up the configuration of the Entity and staff responsible for the project follow up
- On the Project step, please add the title, context and objectives of the project
- Continue adding the desired competencies and level of experience on the tab Conditions
- Continue by indicating the budget and duration of your Fixed price project
- Set up the publication settings of your Fixed Price project, and select the audience from whom you wish to receive proposals
Access the proposals sent for Fixed price projects:Access the proposals received via the list in the RFPs (Requests for Proposals) page and consult their details, including the status, associated documents, and the supplier's contact details. An evaluation panel allows you to follow the progress and select the proposals in three stages: reading, pre-selection, and final validation.

As a service provider, when you are invited to send a proposal for a fixed-price project, you will receive an email with the direct link to open the RFP and send a proposal (with the consultant's details) and relevant documents.
Please note that before accessing the details, a window will open with conditions defined by the client, which must be read and accepted.Once a consultant has been selected for a Fixed Price RFP, an email notification will be sent, with the direct link to open the Fixed price RFP that has been won.
The proposal on the RFP won can therefore be accessed from the email, from the home page section of ongoing RFPs, or from the table listing all RFPs on the Projects tab. Here, you can find the status, associated documents, client contact details, and other details for each RFP.
