Introduction to the Statement of Work
A Statement of Work (SoW) is a formal document that consolidates information from both parties (client and supplier) and describes the project to be carried out. It is commonly used to support internal purchase requests and to formally start a project.
This feature simplifies the procurement process. It allows client users to generate a complete and edit the SoW in a few clicks directly from a selected supplier’s proposal.
The generated document includes all required project details and can include additional supporting documents. Once created, the SoW can be shared with the supplier for validation before the project begins.
How to Generate a Statement of Work Step by Step
Activate the SoW features (admin users)
As an account administrator, from your entity settings, you can activate:
- Enable the SoW generation feature
- Enable the supplier validation of the SoW.
When enabled, the supplier must review and validate the document before the project can start.
Step 1: Start the SoW generation
- Open the supplier proposal details.
- After clicking Select, go to the Summary section on the right.
- Click Generate the SoW.
Step 2: Review and complete the SoW form
- A window opens with a pre-filled form.
- The displayed data is based on the information provided in the Request for Proposal (RFP)
- Review all fields carefully.
- If needed, edit any auto-filled values to ensure the information is accurate.
Step 3: Attach supporting documents (optional)
- Attach up to 5 PDF files as annexes to the SoW.
- Use annexes to provide additional project details or contractual information.
- Click Preview the SoW.
Step 4: Preview the Statement of Work
- Review the SoW preview to check the information one last time.
- To make changes, click Edit and update the relevant fields.
Step 5: Download and send the SoW
- If all information is correct, click Download.
- The SoW is generated as a PDF and downloaded to your computer.
- Click Validate and send to the supplier (optional).
Step 6: Supplier validation (if activated)
- If supplier validation is enabled, the supplier can review the SoW.
- The supplier can either validate or decline it.
- If validated, the project can start.
- If the supplier declines, they must provide a reason for the refusal or specify that they are no longer interested in the project. You can then edit the SoW or select another supplier.
