Functioning of the automatic closing of an RFP
We have developed and implemented an automatic closing feature for RFPs in order to help you have a clearer view of the current and relevant needs of your scope, as well as to encourage suppliers to address them.
This new feature only applies to first (RFP-xxx-1) single RFPs created after the deployment of this update.
The main concept of this feature is that after 90 days in either the Published with proposals or Published without proposals status, an RFP will automatically close, unless you extend its publication period to further 90 days.
If an RFP is eligible for the automatic closing, a message will be visible on the RFP view page. By clicking on the button within this message, you will extend the publication period by 90 days.

New notifications for RFP owners
As RFP owner, you will be kept informed about the automatic closing process thanks to:
- A weekly email with the RFPs that are about to close in the next 14 days and the option to extend their publication period
- An email with the RFPs that are about to close in the next 48 hours and the option to extend the publication period
- A platform notification once the automatic closing has been executed
The emails will contain a table with all eligible RFPs and their respective details:
- ID
- Title
- Publication date
- Potential automatic closing date
- Number of proposals
By clicking on the RFP ID, you will be redirected to the RFP view page, where you will see the message and button allowing you to extend the publication period.

Impact on suppliers
For suppliers, when a client extends the publication duration of an RFP, you will be able to identify them through a new label: Opportunity. Additionally, these extended RFPs will be treated as new ones and will be placed at the top of the RFP list on the search page. This way, you will know that these needs are still relevant, and that it is worth responding to them.
For preferred suppliers, once an RFP publication period is extended, those who haven't responded to it yet will receive a reminder by email to let you know that it is still open.
