Communicate with Clients

This article presents you the available channels to exchange with Clients before and during a project, as a Business manager.

Use public Questions/Answers on a Request for proposals

When you view an RFP, before sending your proposal, you can publish a public message to which the client can reply. To do so: 
  1. Go to the RFPs tab and click on Search an RFP or Favorite RFPs
  2. Click on the RFP you are interested in to view it
  3. On the page that will appear, click on the Questions/Answers tab under the RFP header
  4. Write your message and click on Send

Important

These questions will be visible to all those who have access to the RFP, i.e. the client and other suppliers as well.

Use private Questions/Answers on a proposal

Once you have sent your proposal, you can discuss privately with the client directly via a private Q&A tab available on the RFP. To do this :

  1. Go to the RFP tab and click on My marketplace RFPs

  2. In the Active RFP tab, scroll down to the proposal in question, then open the action menu and click on Send a private message

  3. Write your message and click on Send

Good to know

When you receive a private message from the Client, you are notified by email.
Even after submitting your proposal, you still have access to the public Q&A on the RFP page.

Respond to a meeting request

When a client qualifies your proposal as Interesting, they can then request a meeting (also known as a QM - Qualification Meeting) via the platform.

  1. To access it, you can

    • Click on the link in the email received on this topic

    • Click on the notification received on the platform on this topic

    • Go to the platform:

      • Go to the RFP tab and click on Interviews

      • In the Pending interviews tab, scroll down to the meeting in question and open the action menu menu.svg

  2. Then you can choose between 3 options:

    • Accept the meeting request by clicking on Confirm

    • Reject the meeting request by clicking on Decline and confirm your choice

    • Suggest a new time/place by clicking on Suggest another time

Important

This meeting module is not linked to your professional agenda.

When the meeting is confirmed, the Client will send you the videoconference link if required.

Use the platform messaging module

Finally, before the start of any project, the client may choose to initiate an exchange with you via the platform messaging module, which you can access by clicking on the email.svg icon in the top right-hand corner of your screen. 
In this case, you will see a red circle on this envelope, indicating that you have one or more unread messages. 
 
In the messaging module, you have access to three tabs giving you access to :
  • Your inbox
  • Your archived messages
  • Your sent messages
To reply to a client's message :
  1. In the Inbox tab, open the action menu to the right of the message in question and click on Answer
  2. On the page that will appear, you can see all the messages exchanged with this client. To reply, enter your message in the text box at the bottom of the page and click on Answer

Later, when you have a project in progress with a client, you can also initiate the exchange. To do so: 
  1. Go to the My projects tab
  2. For the project in question, click on the user-solid.svg icon next to your contact's name in the Operational manager column
  3. On the page that will appear, open the action menu and click on Send a message
  4. In the window that will appear, enter the subject of your message and the body of the text, then click on Send
The client is notified of this new message, and you can then continue the exchange directly in the messaging module.
