This article presents the available channels to communicate with Clients before and during a project, as a Business manager.
Use public Questions & Answers on a Request for Proposals
When you view an RFP, before submitting your proposal, you can publish a public message that the Client can reply to. To do so:
- Go to the RFPs tab and click Search an RFP or Favorite RFPs.
- Click on the RFP you are interested in to open it.
- On the page that appears, click the Questions & Answers tab under the RFP header.
- Write your message and click Send.
These questions are visible to everyone who has access to the RFP, including the Client and other suppliers.
Use private Questions & Answers on a proposal
Once your proposal has been submitted, you can communicate privately with the Client via the private Questions & Answers module available on the RFP. To do so:
- Go to the RFPs tab and click My marketplace RFPs.
- In the Active RFP tab, scroll to the relevant proposal, open the action menu, and click Send a private message.
- Write your message and click Send.
When you receive a private message from the Client, you are notified by email.
Even after submitting your proposal, you still have access to the public Questions & Answers section on the RFP page.
Respond to a meeting request
When a Client marks your proposal as Interesting, they may invite you to a meeting (also called a QM – Qualification Meeting) via the platform.
You can access it by:
- Clicking the link in the email you receive.
- Clicking the notification displayed on the platform.
Or by accessing it directly on the platform:
- Go to the RFPs tab and click Interviews.
- In the Pending interviews tab, scroll to the relevant meeting and open the action menu menu.svg.
You then have three possible options:
- Accept the meeting request by clicking Confirm.
- Reject the meeting request by clicking Decline, then confirm your choice.
- Suggest a new time or location by clicking Suggest another time.
This meeting module is not linked to your professional calendar. Once the meeting is confirmed, the Client will send you the videoconference link if required.
Use the platform messaging module
Before a project starts, the Client may initiate a conversation with you using the platform messaging module. You can access it by clicking the email.svg icon in the top-right corner of your screen.
A red indicator on the envelope means you have one or more unread messages.
In the messaging module, you can access three tabs:
- Your inbox
- Your archived messages
- Your sent messages
To reply to a Client message
- In the Inbox tab, open the action menu to the right of the relevant message and click Answer.
- On the page that appears, you can view the full conversation. Enter your message in the text box at the bottom of the page, then click Answer.
When you have an ongoing project with a Client, you can also initiate the conversation yourself. To do so:
- Go to the My projects tab.
- For the relevant project, click the user-solid.svg icon next to your contact’s name in the Operational manager column.
- On the page that appears, open the action menu and click Send a message.
- In the window that opens, enter the subject and message content, then click Send.
- The Client is notified of the new message, and you can continue the conversation directly in the messaging module.
