Use the publication workflow to approve or reject an RFP

Access the RFP publication workflow
If you are assigned to approve or reject the publication of an RFP, you may be notified in one of the following ways:
Option 1 – From an email notification
Open the notification email you received.
Click the link in the email to open the RFP publication workflow.
Option 2 – From an in-app notification
An in-app notification is a notification displayed inside the application interface.
Click the bell icon in the application header.
Open the notification related to the RFP publication workflow.
Option 3 – From the RFP list
Go to the RFP tab.
Click My RFPs.
In the grid, find the RFP with status Workflow in progress.
Open the action menu for that RFP.
Select View the workflow.
Approve an RFP publication
Use this process when you want to approve the publication of the RFP.
Step 1 – Open the validation steps
On the RFP, go to the Workflow tab.
A summary of the RFP appears on the right.
If needed, navigate to the RFP details tab to view all information.
In the center, review the Validation steps. This is where you record your decision.
Step 2 – Approve the publication
In Validation steps, select the step assigned to you.
Click the check icon (✔). A window opens.
Enter a comment for the RFP owner (optional).
Click Validate.
What happens next
If more validation steps remain, the workflow continues and the next validator is notified.
If no further steps remain, the workflow is completed, the RFP is published, and its status changes to Published.
Reject an RFP publication
Use this process when the RFP needs changes before it can be published.
Step 1 – Open the validation steps
On the RFP, go to the Workflow tab.
Review the RFP summary on the right, or open the RFP details tab if you need full information.
In the center, locate the Validation steps section.
Step 2 – Reject the publication
In Validation steps, select the step assigned to you.
Click the cross icon (✖). A window opens.
Enter a comment explaining what needs to change.
Click Validate.
What happens next
The operational manager responsible for the RFP is notified.
The RFP status changes to Publication refused.
After updates are made, the RFP re-enters the validation workflow.
Send reminders to pending validators
If another validator still needs to act on their validation step, you can send them a reminder.
Step 1 – Locate the pending validation
On the RFP, go to the Workflow tab.
In Validation steps, locate the step with status Pending validation.
Step 2 – Send the reminder
On the step with status Pending validation, click the refresh icon (↻) in the top-right corner of the step card.
What happens next
The pending validator receives an email notification.
The pending validator also receives an in-app notification reminding them that they have a pending action.
