How to Approve and Correct an Activity Report (AR) for a Time & Materials Project by a Business Manager
An Activity Report (CRA) is a supporting document that formally links you to your Client.
It includes:
The number of units of work delivered by your Consultants
Any expenses incurred
Non-working hours and on-call hours
An evaluation of the project

Impact of the AR on Invoicing and Payment
The AR must be validated at the end of each month of the project.
Validation is necessary to:
Generate the invoice or Billing Vouchers
Trigger the payment process
Important
Any delay in validating an AR will delay invoicing and therefore payment.
To ensure timely payment, follow the recommended validation dates.
How to Verify and Approve a Consultant’s AR(Time & Materials Project)
Follow these steps to verify and approve a CRA.
Step 1: Access the AR list
Go to the Activity Report/Invoices tab.
Click Display Activity Reports and Billing Vouchers.
Step 2: Open the AR
For each AR with the status Approved by Consultant:
Open the contextual menu.
Click View the Activity Report
Step 3: Review the AR summary
Check the information entered by your Consultant in the Summary of the Activity Report panel on the right-hand side of the screen.
Step 4: Review or complete Project Details (optional)
Click Project Details to:
Review items added by your Consultant
Add additional information if needed
You can manage the following sections:
Documents and Deliverables
Share documents produced during the month.
Regularisation
If an error was made in the previous month’s CRA (e.g., one extra billed day):
Indicate the number of units of work to add or deduct.
Overtime
Enter the total excluding tax (HT).
Specify your calculation method in the comment section.
Step 5: Review the Monthly Activity Report (optional)
In this section, you can:
View a description of deliverables
Check the Consultant’s evaluation of the project
Step 6: Check Breakdown of the projects (if applicable)
This section appears only if the Client has activated the Breakdown feature for the project.
If visible:
Click Add details to the project > Breakdown of the projects
Enter the number of days worked in the Time Spent field.
Verify the time spent on each project within the overall mission.
Step 7: Confirm the AR summary
Recheck the AR Summary panel to ensure:
All modifications have been applied
All information is complete and accurate
Step 8: Approve or Reject the AR
If everything is correct:
Click Approve the Activity Report.
After approval:
The AR can no longer be modified
The Validation Steps panel is updated
The Client is notified to validate the AR
If information is incorrect:
If certain information (especially calendar data) is wrong:
Click Reject the Activity Report
Check the reason for rejection
Click Confirm rejection
The AR will be returned to the Consultant for correction and resubmission.
Good to know – Send a reminder
If a CRA has not yet been completed by the Consultant with the status To be submitted by Consultant:
Open the contextual menu
Click Send a reminder to Consultant
This will:
Send a platform notification to the Consultant
Open a “mailto” option so you can personalise the email before sending
